From guest numbers and layout to air-conditioning and flooring, here is what to decide early when planning a tent for a wedding, exhibition, or corporate function.
A well-planned tent can turn almost any outdoor space into a comfortable venue. A rushed one can leave guests hot, cramped, or unsure where to go. Here is a checklist we recommend working through early.
Guest numbers and use. The size of the tent depends on how many guests you expect and how the space will be used — seated dinner, standing reception, exhibition booths, or a mix. Include room for stages, buffets, walkways, and service areas.
The site. Is the ground sand, grass, paving, or asphalt? Is it level? How will installation crews and equipment access the area? These details affect the frame, anchoring, and flooring.
Comfort. In the Gulf, air-conditioning is often essential, especially for daytime and summer events. Flooring, lighting, and power should be planned together with the tent, not added at the last minute.
Timeline. Agree installation and dismantling dates early, working back from your event date, and allow time for fit-out and decoration.
One team. Using one contractor for the structure, flooring, lighting, and air-conditioning makes coordination far simpler and reduces the risk of last-minute surprises.
